Illowa Intergroup Business Meeting Minutes

May 3, 2010

The meeting was called to order by Gail S. at 5:59pm.

ATTENDANCE:

Groups Present: Bettendorf, Big book Study, Blandine, Central Discussion, Clinton, Courage to Change, House Group,  Marquette, Northwest, Primary Purpose

Officers Present: Chair – Gail S., Co-Chair – position available, Secretary – Maureen P., Office Manager– Lisa W., Treasurer – Rhonda, Telephone Chair – position available

Chairs Present:  Events: Mary Beth P., Newsletter: position available,       District 9&90 :positions available

Secretary’s Minutes -  Karen K approved minutes and Ben D 2nd .

Treasurer’s Report –Income for the month of April  2010 was $ 8400.57. Contributions totaled $1587.36; sales were $ 2245.55; Events  $ 4564.75; bank dividends $  2.91.  The breakdown for actual expenses and purchases for April is as follows:  General Expenses $ 1848.23; Event Expenses $ 4000.17; Taxes/Accounting Services $ 520.00; and Literature purchases $ 1735.45. The balance in our general checking and savings accounts as of April 30, 2010 was $ 6465.17.  Of this balance, liabilities total  $ 1225.20.    This leaves a remaining balance of $ 5239.97.  Prudent reserve should be $ 6,600. Office Manager’s Report – It has been a very busy month here at the office, with our annual anniversary event, quarterly taxes, newsletter to get out, ordering and keeping track of inventory, etc.  I am grateful to the officers, chairpersons,  and volunteers who helped me get through it all!  We still could use more backup volunteers as I have a lot of comp time to use.  I am working on getting a Friday volunteer so hopefully that will be one less thing to worry about.   Otherwise, the office will have to close in the morning. 

There was damage to the ceiling tiles in the kitchen from the upstairs plumbing, but it hasn't been repaired yet.  The landlord is supposed to be getting those tiles replaced.

If you know you are going to be purchasing several items from Intergroup, it would be helpful if you could call or e-mail ahead so we can have the order ready or let you know what items aren't in inventory.   As a reminder, the office is closed for business at 5:30, so please respect that, especially on business meeting nights.  Thanks in advance! Telephone – We need a telephone chair! I have got volunteers to cover transferring the phones on the weekends for the month of May (thanks Terri B. and Dee R.!), but we need a permanent telephone chair. We get lots of phone calls every month from people looking for help and/or information, so it would be a shame if we had to discontinue that service. Please call the office if you are interested. A computer is necessary to transfer the phones. Thanks!  Lisa W., Office Manager.

Events: - The Intergroup 36th Anniversary Dinner Event went very well. Thanks to all who helped make is a success! In love and service, Karen K

Newsletter: - POSITION OPEN: We still need a newsletter chair.  I put together the newsletter this month and got it printed,  and JoAnn N. assembled and mailed it for me, so many thanks to her! In love and service, Lisa W.

Upcoming Anniversaries: Courage to Change 17th Anniversary June 1, 2010, RICCA will be having a AA speaker/dance on July17th flyer to be coming soon.

Old Business- Intergroup changed to meeting schedules and took out that all meetings in Iowa and Illinois are non-smoking. Newsletter, District 9&90 and Telephone Chair positions are still OPEN.

New Business – Motion was made to rename the Intergroup Annual Softball tournament to the Tom C. Softball Tournament and motion was denied.

Group Reports - Marquette Anniversary went well. Courage to Change Group will be changing the meeting time to 6:30-7:30pm starting Tuesday, June 8th

The meeting adjourned at 6:30 pm.
